PlayCore is a data and analytics platform operated by We Play Ltd (“WePlay”, “we”, “us”, or “our”).This Privacy Policy explains how we collect, use and share personal data when you:

  • Visit our PlayCore websites (including playcore.ai and related pages) • Use the PlayCore platform and applications 
  • Connect external integrations (e.g. advertising and analytics APIs) 
  • Interact with PlayCore support, demos or marketing 

This Policy sits alongside the main WePlay Privacy Policy available at weplay.co/privacy. If there is any inconsistency, this PlayCore Privacy Policy will apply for PlayCore websites and products.By using PlayCore, you agree to the collection and use of information in accordance with this Policy.

In those cases, the customer is the data controller and WePlay acts as a data processor.

2. Scope of this Policy

This Privacy Policy applies when you:

  • Visit the PlayCore marketing website or landing pages 
  • Create or use a PlayCore account 
  • Access PlayCore dashboards, apps or AI features 
  • Connect third-party platforms (e.g. Google, Meta, TikTok) to PlayCore • Participate in PlayCore demos, webinars or events 
  • Contact us about PlayCore or receive communications about PlayCore 

It does not apply to third-party websites, tools or services you may access via links or integrations. Those are governed by their own privacy policies.

3. Personal data we collect

The data we collect depends on how you interact with PlayCore.

3.1 Website visitors

When you visit our websites, we may collect:

  • Contact details – if you submit a form (e.g. name, work email, company, role,  message) 
  • Technical and usage data – IP address, browser type, device type, operating system,  referring URLs, pages visited, time and date of visits, time spent on pages • Cookie data – via cookies and similar technologies (see “Cookies” below) 

If you sign up for newsletters or marketing content, we will also collect your subscription preferences.

3.2 PlayCore users (accounts and workspace)

When you create or use a PlayCore account, we may collect:

  • Account information – name, work email address, organisation, job title, role,  password (stored in hashed form) or SSO-related identifiers 
  • Workspace information – which customer account you belong to, permissions and  roles (e.g. admin, viewer)
  • Usage data – feature usage, dashboards viewed, filters applied, queries run, exports  performed, timestamps and activity logs 
  • Support and communications – information you provide when you contact support,  join onboarding sessions, or respond to surveys and feedback requests 

3.3 Data from connected integrations and APIs

At the instruction of our customers, PlayCore connects to third-party platforms such as (by way of example only):

  • Google Analytics 4, Google Ads, Campaign Manager 360 
  • Meta Ads 
  • TikTok Ads 
  • Other marketing, analytics or CRM tools 

When authorised by you or your organisation, we may access and process:

  • Campaign, ad and creative data (e.g. names, IDs, budgets, spend, impressions, clicks) • Web and app analytics data (e.g. sessions, events, conversions, URLs) • Aggregated performance data and metrics 

This data is used only to provide analytics and reporting through PlayCore for your organisation. The precise data ingested depends on what your organisation chooses to connect and authorise.We do not collect or store your third-party account passwords.

3.4 AI features (PlayCore AI)

If you use PlayCore AI or conversational analytics, we may process:

  • The questions or prompts you type 
  • Metadata about the dashboards or metrics you are querying 
  • Feedback you provide on responses 

This information is used to generate responses, improve relevance within your organisation’s workspace, and maintain service quality and security. We do not use customer data from PlayCore to train general, public AI models.

3.5 Events, demos and marketing

If you register for a PlayCore demo, webinar, event or download gated content, we may collect:

  • Name, work email address, company, job title 
  • Registration and attendance information 
  • Preferences (e.g. communication topics, regions, industries) 
  • Feedback and survey responses 

4. How we use your personal data

We use the data described above to:

  • Provide and operate PlayCore  
    • Create and manage accounts 
    • Authenticate users and manage permissions 
    • Ingest data from connected integrations 
    • Generate dashboards, reports and insights 

• Improve and develop PlayCore

    • Understand how features are used 
    • Diagnose issues and errors 
    • Enhance performance, usability and security 

• Communicate with you

    • Send service and operational emails (e.g. important updates, security notices,  billing information) 
    • Respond to support requests and enquiries 
    • Send marketing communications about PlayCore where you have not opted  out and where this is permitted by law 

• Protect our platform and comply with law

    • Monitor, prevent and detect fraud, misuse and security incidents 
    • Comply with legal obligations and respond to lawful requests from authorities We do not sell personal data. 

5. Legal bases for processing (GDPR / UK-GDPR)

If you are based in the UK or EEA, our legal bases for processing your personal data are:

  • Performance of a contract – to provide and manage your PlayCore account and  services
  • Legitimate interests – to operate, secure and improve PlayCore, communicate with  you as a business contact, and run our business 
  • Consent – where required for certain marketing activities or non-essential cookies • Legal obligation – where we must comply with legal or regulatory requirements 

6. Google API data and other integrations

When PlayCore connects to Google APIs (for example Google Analytics 4, Google Ads, Campaign Manager 360), we access and use your Google data only as authorised by you or your organisation and only for the purposes of providing PlayCore functionality.Use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.In particular:

  • We only access the scopes and data you explicitly authorise 
  • We use the data solely to provide analytics and reporting inside PlayCore • We do not use Google API data for advertising targeting or selling to third parties • We do not use Google API data to train or improve general-purpose AI or machine  learning models outside your organisation’s use of PlayCore 
  • We may share Google data only with essential subprocessors that support PlayCore  (e.g. cloud hosting) under strict contractual obligations 

You can revoke PlayCore’s access to Google data at any time via your Google account settings.The same principles apply to other API-based integrations (e.g. Meta Ads, TikTok Ads) you choose to connect to PlayCore.

7. Cookies and similar technologies

PlayCore uses cookies and similar technologies on its websites and within the platform to:

  • Keep you logged in and maintain sessions 
  • Remember your preferences and settings 
  • Measure and improve website and product performance 
  • Support security and fraud prevention

You can control cookies through your browser settings and, where implemented, through our cookie banner or cookie management tool. If you disable certain cookies, some features of the website or platform may not work correctly.We may publish a more detailed PlayCore Cookie Policy describing the specific cookies used.

8. How we share your data

We may share personal data with:

  • Our group companies – other WePlay / group entities where necessary to support  PlayCore and our wider services 
  • Service providers and subprocessors – trusted third parties who provide hosting,  infrastructure, analytics, authentication, email delivery, customer support tools and  similar services 
  • Your organisation – because PlayCore is a multi-user environment, your activity may  be visible to other authorised users in your organisation depending on roles and  permissions 
  • Professional advisers – such as lawyers, auditors and consultants where needed • Authorities and regulators – where required by law or necessary to protect rights,  property or safety 
  • Potential buyers or merger partners – in connection with a corporate transaction,  subject to appropriate safeguards 

We ensure that third-party service providers are subject to appropriate contractual and security obligations.We do not share your personal data with third parties for their own direct marketing.

9. International transfers

PlayCore may process and store data in the United Kingdom, the European Economic Area (“EEA”) and other countries where our service providers are located.Where personal data is transferred outside the UK or EEA to a country that does not have an adequacy decision, we will use appropriate safeguards such as:

  • Standard Contractual Clauses (SCCs) approved by the European Commission and/or
  • The UK International Data Transfer Addendum 

and will take reasonable steps to ensure that your data remains protected.

10. Data retention

We retain personal data for as long as necessary to:

  • Provide and maintain PlayCore 
  • Meet our contractual obligations to customers 
  • Comply with legal and regulatory requirements 
  • Resolve disputes and enforce agreements 

Customer-specific data retention (e.g. for data ingested from APIs) may also be defined by the customer’s configuration and our agreement with them.When personal data is no longer needed, we will delete it or anonymise it.

11. Your rights

Depending on your location and applicable law, you may have the right to:

  • Access the personal data we hold about you 
  • Request correction of inaccurate or incomplete data 
  • Request deletion of your personal data 
  • Restrict or object to our processing of your data 
  • Request transfer of your data (data portability)

Where we process your data on behalf of a customer (for example, your employer), we may need to refer your request to them.You also have the right to lodge a complaint with your local data protection authority. In the UK, this is the Information Commissioner’s Office (ICO).

We take appropriate technical and organisational measures to protect personal data, including:

  • Encryption in transit and at rest (where applicable) 
  • Access controls and role-based permissions 
  • Strong authentication and secure credential storage

No method of transmission or storage is completely secure, but we strive to protect your data to a commercially reasonable standard.

13. Children’s privacy

PlayCore is intended for use by business users and is not directed at children under 18. We do not knowingly collect personal data from children. If you believe we have collected personal data from a child, please contact us so we can delete it.
